How I reduced my client onboarding from 5 days to 2 hours

A walkthrough of the exact Notion system that replaced 15 emails and a week of back-and-forth.

Last year I was still doing client onboarding the old way: an intro email, a questionnaire PDF, a contract DocuSign, a welcome packet, and a Zoom call to explain everything. It took five days on average. Now it takes two hours.

The change was a single Notion page called the Client Hub. It houses the contract (via an embedded e‑sign tool), a project brief that the client fills directly in Notion, a shared timeline, and a resource library. I send one link after the deposit clears. The client explores at their own pace, fills the brief, and signs — all without a single email.

The biggest time saver is the brief. Instead of asking 20 questions, I ask 6: project goal, target audience, deliverables, examples of work they love, timeline, and budget. The form auto‑organizes into a database that I can sort by deadline or client type. I’ve onboarded 12 clients this quarter with zero confusion.
