How I Stopped Drowning in Client Requests (and Got 5 Hours Back a Week)
A simple Notion system that turned chaotic email threads into a calm, trackable workflow.
Last year, I hit a wall. Client messages poured in across email, Instagram DMs, and WhatsApp. I’d reply to the loudest person, not the most important one. Deadlines slipped.
I tried project management tools like Asana and Trello, but they felt like overkill for a solo operation. What I needed was a single place to log every request, prioritize it, and track progress without context-switching.
So I built a lightweight client request tracker in Notion. Every incoming request gets a database entry with fields for urgency, project type, and status. I set up a filtered view that shows only what’s due today. That’s it.
The result? I stopped losing requests, started working on what actually mattered, and reclaimed about five hours a week that used to go to mental overhead. No fancy automations — just clarity.
