How I stopped drowning in Notion databases

Why I switched from a dozen disconnected databases to a single workspace — and how you can too.

I used to have databases for everything: clients, projects, tasks, ideas, invoices. Each one lived in its own page, linked by relations that broke half the time. I spent more time managing Notion than doing actual work.

The turning point was realising that most of my databases were just variations of the same thing: a task list. I consolidated everything into one 'Action Items' database with a single 'Area' select property (Client, Business, Personal). Then I used filtered views to show only what was relevant.

The result? Fewer clicks, less mental overhead, and a workspace that loads instantly. If you're feeling overwhelmed by your own system, try merging instead of adding. One good database beats five mediocre ones.
