How I use Notion to manage 12 client projects simultaneously (without losing my mind)

Two years ago I hit a wall. I had 14 active clients, three deadlines in the same week, and I was waking up at 3 AM to write to-do lists on paper because my digital system had collapsed under its own weight.
I switched to Notion out of desperation. The key wasn't more databases — it was fewer. I consolidated everything into one master project database with a status field that drives every view. A Kanban board for this week's work. A timeline view for the month ahead. A single table where I can see every client's last action.
The rule I follow: if a client hasn't moved in 72 hours, they get a check-in email. That one trigger cut my response time from 48 hours to under 6. No more "I thought you were waiting on me" emails.
I've since trimmed that database to 12 clients max. Any more and the system gets noisy. But within that limit, I can run a full creative practice with one person and zero dropped balls.
