Notion Templates That Actually Save Time (and the ones that don't)

A practical look at what separates a useful Notion template from a pretty one that just adds clutter.

We all know the trap: you find a beautiful template, duplicate it, and then spend an hour customizing it. A week later, you're back to your old messy way of working. Why? Because most templates are designed to look good, not to work well.

A good template is ruthless about what it includes. It doesn't have a database for every possible scenario. It has the few core views you need to move your projects forward. When I redesigned my client portal, I cut out half the databases and focused on the ones that actually get used daily: tasks, files, and contact info.

The real test is a simple one: if a template takes more than 15 minutes to set up, it's probably too complicated. Your system should feel like it's helping you from day one, not adding overhead.

In practice, this means templates that use simple toggles for optional sections and rely on linked views instead of duplicate data. Those are the ones that save you time instead of eating it.
