One Database to Rule Them All: How I Structure Notion for Multiple Projects
Stop juggling dozens of databases. Here’s how a single master database keeps your projects, tasks, and notes connected.
For years, I kept separate Notion databases for client projects, personal projects, and content ideas. The result? Constant context-switching, duplicate entries, and a feeling that my system was working against me.
The fix was simpler than I expected: a single Projects database with a single Tasks database linked by relations. Every project gets a status, a client tag (or none), and a due date. Tasks get assigned to a project, and that’s it. No more hunting across pages.
This structure also powers my weekly review. I filter by “Next Up” status and see exactly what needs attention across all areas of my business. If you’re tired of database sprawl, try consolidating into one master project list. You can always add views later.
