Why I Switched from Trello to Notion for Client Projects
Trello worked, but Notion gave me the flexibility to manage clients without duct-taping five tools together.
I used Trello for years. It's simple, and simplicity is great — until you need to attach a brief, track budgets, and share progress reports in one place. I found myself juggling Trello boards, Google Docs, and a spreadsheet for time tracking. It worked, but it was messy.
Notion changed that. The killer feature is the ability to link databases. I have a client database, a project database, and a task database. Each project page automatically pulls in tasks from its related database. No more manual copying or lost updates.
I also love the flexibility of page templates. Each client project starts with a standard structure: brief, timeline, deliverables, and meeting notes. I can customize it per client, but I don't have to reinvent the wheel every time. My clients get a clean portal where they can see progress and leave feedback — no more email chains.
The transition took a weekend, but it was worth it. I manage twice the clients now with less overhead. If you're outgrowing Trello, give Notion a shot. It might feel overwhelming at first, but start with one workflow and build from there.
