Why your Notion setup fails in week three (and the fix that takes an hour)
Most creator workspaces die the same death: too much structure, not enough use. Here's the minimal system that survives past the honeymoon.
Every creator I know has a graveyard of abandoned Notion setups. The pattern is always the same. Week one, you build something beautiful. Week two, you add databases for everything. Week three, you miss a day, the board goes stale, and you quietly stop opening it.
The problem isn't discipline. It's that you built for the system instead of the work. A template with fourteen linked databases asks you to maintain it. A template with three views asks nothing. The test I use now: if I can't update the whole thing in ninety seconds on a bad day, it's too heavy.
My current workspace has one inbox, one project board, and one content calendar. Nothing links to anything else. When I capture an idea, it goes in the inbox. Every Friday I sort the inbox in fifteen minutes. That's the entire maintenance cost.
The counterintuitive part is that the minimal version handles more, not less. I've run two product launches and a client retainer through it without adding a single new database. Structure is cheap to add later and expensive to remove. Start with less than you think you need.
