Why your Notion setup keeps breaking (and the fix that sticks)
Most Notion systems fail for the same boring reason: they're built for the week you made them, not the week you're having now.
Every creator I know has rebuilt their Notion workspace at least three times. Mine was four. The pattern is always the same: build an elaborate dashboard, use it hard for three weeks, watch it collapse under edge cases, abandon it, start over.
The problem isn't Notion. It's that we design for the ideal week. We imagine tidy inputs and predictable outputs. Real weeks have a client who reschedules twice, a launch that slips, and a project that quietly turns into something else. A system that can't absorb that isn't a system, it's a costume.
The fix is boring and it works. Build for the worst week, not the best one. Fewer databases, looser statuses, one place to dump anything that doesn't fit. I keep exactly three statuses on most of my boards: not started, in motion, done. Anything more becomes a place to hide.
Second, separate capture from organization. Capturing should take two seconds and zero decisions. Organizing happens once a week, on a scheduled block, never in the moment. Mixing the two is what makes people quit.
If your setup keeps breaking, don't add another layer. Delete one, then run it for a month before touching it again. Systems earn complexity. They don't start with it.
