Why your Notion setup keeps collapsing (and the three-page fix)
Most Notion workspaces fail because they try to model your whole life. Here's the smaller structure that survives a busy month.
Every few months someone posts a screenshot of their 40-database Notion setup and a hundred people try to copy it. Three weeks later, half of them have abandoned it. I've done this myself at least twice.
The problem isn't Notion. It's that a workspace optimized for looking impressive is usually optimized against being used. When opening your dashboard requires deciding which of six views to check, you stop opening it. That's the whole failure mode.
What works, in my experience, is three pages. One for what you're shipping this month. One for what's waiting. One for reference material you actually search. Everything else is optional and should stay optional until you miss it.
I rebuilt my own studio workspace around this last year and cut it from eleven databases to four. The launch calendar got faster to update. The client notes got easier to find. Nothing important got lost.
If your setup keeps collapsing, the fix usually isn't more structure. It's less structure, placed more deliberately.
