Why your Notion workspace feels cluttered (and how to fix it in 20 minutes)
Three common mistakes that make Notion feel overwhelming, plus a simple structure that keeps your workspace clean and fast.
You know the feeling: you open Notion with good intentions, but within five minutes you’re scrolling past half-finished pages, orphaned databases, and that one template you duplicated but never used. The clutter isn’t just visual — it slows down your actual work.
The most common culprit is what I call the ‘pantry problem’: storing everything in one big database or page. Instead, separate your active projects from reference material. Use a dashboard that shows only today’s priority tasks, and archive anything older than a month.
Another fix is limiting your sidebar to 5–7 items. If you have more than that, group them into a ‘Resources’ page and link it from your sidebar. Think of your sidebar as your command center — less is faster.
Finally, use database views sparingly. Each view adds load time. I keep three views per database: a main table, a calendar (for deadlines), and a gallery (for visual inspo). Anything else gets created on the fly and deleted after use.
