Why Your Notion Workspace Keeps Breaking (And the Fix)
Most Notion setups fail for the same reason: they grow faster than their structure. Here is how to build one that holds.
Every creator I know has a Notion workspace graveyard. A dashboard that looked great in January, abandoned by March. The problem is rarely Notion itself. It is that we build for the version of our business we have right now, not the one six months out.
The fix starts with separating capture from structure. Ideas, tasks, and content all need a place to land fast, before you decide where they belong. I keep one inbox database for everything and sort it twice a week. That single habit stopped me from creating five new pages a month that I never opened again.
Second, stop nesting. Deep page trees feel organized and are a nightmare to navigate. I keep almost everything in two or three databases with filtered views. A task lives in Tasks, a piece of content lives in Content, and the dashboard just shows me slices of each. If I need a new view, I make one. I do not make a new page.
Third, and this is the hard one, delete things. A workspace with 40 stale pages is a workspace you avoid. Once a quarter I archive anything I have not touched. The template you pay for should include that maintenance step, not pretend it does not exist.
None of this is glamorous. It is the difference between a system that survives a busy month and one that becomes another abandoned dashboard.
